Clear allocation of work helps reviews run faster and more efficiently. In Drawboard Projects, you can assign people to drawings and documents, then use filters to quickly see what you need to focus on and check the review progress of others.
Tip: Read how to use the Assign and Review Status features together to better co-ordinate reviews
Seeing assignees
In the list view, the Assign button for each drawing or document is next to the review status, and in the canvas view it appears in the left toolbar.
Assigning people
Only members of the project can be assigned to items. If you can't find someone, check to make sure they've been added as a project team member.
To assign people to a drawing or document, click or tap the Assign button. Type into the search bar or select the people you wish to assign (on iOS, pull down on the assignee list to display the search bar).
Tip: In the Web app, hovering over the Assign button will show assignees as a tooltip.
In the list view, you can also select multiple drawings or documents then click or tap the Bulk Assign button at the top of the screen (on iOS, first toggle the Selection Mode icon in the navigation bar to enter select mode).
Tip: Users with Reader access to a project can see but not modify assignees
Changing and clearing assignees
To change assignees, click or tap the Assign button and select/deselect the people you wish to add/remove. When bulk editing, click or tap Clear to remove all assignees.
If you selected multiple drawings or documents, people assigned to only some of the selected items will have an orange toggle, as shown below. Click or tap this as normal to select/deselect these people.
Filtering by assignee
On the drawing or document list, filter by one or more assignees, and/or filter by unassigned items, to easily:
- Find out what drawings and documents are unassigned
- See what documents you need to review
- Check how various team members are going with the drawings assigned to them
In the iOS app, tap the Filter button in the navigation bar, pick Assignees, then select the assignees to include.
FAQ
I can't find the person I want to assign
Only members of the project can be assigned to items. If you can't find someone, check to make sure they've been added as a project team member.
Will the assignee receive a notification when a drawing or document has been assigned to them?
Yes, assignees receive a notification via email when a drawing or document has been assigned to them.
Does the assigner receive a notification when assignee completes review?
No, there are no automatic emails sent to the assigner.
How many project members can I assign to a drawing or document?
As many as you want (there's no limit), but since any assignee will get a notification, we suggest carefully considering who you assign to each drawing or document.
If I have been assigned incorrectly, can I reassign to the appropriate project member?
As long as you have at least Collaborator access to the project, you can reassign drawings or documents to another person.
Can I assign a drawing/document to a "Guest" on a project?
Yes, guests can be assigned, but only while their guest access is active. Once their guest access expires, their name won't appear in the available list when clicking the Assign button.
What happens if an assignee has been removed from or left a project?
Their name and avatar will still appear for any drawing or document that they are assigned to, until that drawing or document is edited. They will not show up in the list when the Assign button is pressed. To remove them, select the drawing or document, click or tap Bulk Assign and clear the assignees list.
