With the Markup Library, you can keep every markup you use regularly at your fingertips. The Markup Library is like a storage vault for markups you want to use over and over again. Add what you need and access it any time, on any drawing or document.
Every Projects user has their own Personal Markup Library and on the Growth and Enterprise plans, each project also has a shared Project Markup Library available to all project team members.
Projects users often use the Markup Library tool for:
- Engineering symbols
- Modular units
- Product types
- Company-wide or Standardized review markups

Using the Markup Library
The Markup Library tool in the tool drawer provides access to both your Personal Markup Library and the shared Project Markup Library.
To use the Markup Library:
- Open the tool drawer and go to the Insert tab
- Select Markup library
- Your Personal Markup Library is selected by default. To switch to the shared Project Markup Library click or tap Project
- If you have a lot of markups in your library, you can use the search bar to find the markup you're looking for
- Click More (...) to switch between the Large grid and Small grid display options
- Select the markup you want to use
- Click or tap on the drawing/document to insert this markup
Tip: In the Web app, to precisely position a markup, click or tap and hold on the drawing and then drag to reposition it before releasing your finger/mouse. If snapping is turned on, this "drag-to-place" will snap your new markup to any other existing markup while you drag. Your new markup will be positioned at the release point.
Personal Markup Library
This is your library, available in the Projects app whenever you log in to your Projects account (currently Web and iOS apps only). If you use another workstation or an iPad and log in to your account, your Personal library will follow you and be available on any drawing or document in any project. No-one else can see the markups you have saved.
On any Projects you have Admin rights to, you can move or duplicate markups from your Personal library into the shared Project Markup Libraries.
Project Markup Libraries
Every project also has its own Markup Library, which is available to every member of a Project. These can save larger teams a great deal of time, as one person can create all the markup elements needed and the rest of the team can re-use them with no additional effort.
Only Admins (Project, Workspace and Organization) can add, rename and delete markups from these shared Project Markup Libraries.
What annotations can be saved into the Markup Library?
Not all types of annotations can be used in markups saved into the Markup Library.
Saved markups can contain:
- Ink
- Shapes (line, arrow, rectangle, ellipse, polygon, cloud)
- Text
- Callouts
Saved markups cannot contain:
- Image annotations
- Measurements (Length, Poly Area, Rect Area)
- Stamps
Saving a markup to the Markup Library
To save a markup into the Markup Library:
- Select the annotation(s) you want to add
- Click or tap Save to Markup Library. If you're a Project Admin, you'll be asked which library this markup should be saved into
- Enter a name for this markup, which can be used when searching
- Click or tap Save
Tagging markups
You can tag annotations in three ways
- When you save an annotation to the Markup Library
- Add a tag to a single saved annotation
- Add a tag to multiple saved annotations at once
To add a tag to an individual markup
- In Markup Library, hover over the annotation that you would like to tag
- Tap the 3 dots
- Tap Edit info
- Add tag to the Tag field (note: here you can select from existing tags or create a new tag)
- Tap save
To add a tag to multiple saved annotations at once
- In the Markup Library, tap the 3 dots (next to the search bar)
- Tap Select and then manually select the annotations you would like to tag, or tap Select All to select all of them
- Tap Tags at the bottom of your Markup Library
- Add a new tag and then tap Create or tap an existing tag to attach it to your selected markups
- Tap done
All selected markups will now be tagged with your selected tag
To remove a tag from multiple saved annotations in one go
- In the Markup Library, tap the 3 dots (next to the search bar)
- Tap Select and then manually select the annotations you would like to untag, or tap Select All to select all of them
- Tap Tags at the bottom of your Markup Library
- Search the tag that you would like to remove (note tags that are attached to your selected markups will appear with a tick next to them)
- Hover over the tick (an X will appear) and tap
- Tap done
The tag will now be removed from your selected markups.
Sorting your saved annotations in the Markup Library
In the Markup Library, you can sort or group your annotations by name or by tag
To group your saved annotations by tag
- Tap the 3 dots (next to the search bar)
- Tap Group by tag
To sort your saved annotations by name
- Tap the 3 dots (next to the search bar)
- Tap Sort by name
Renaming markups
Everyone can rename markups in their own Personal Markup Library, but only Admins can rename markups in the shared Project Markup Libraries.
To rename a markup:
- Click or tap the More (...) menu next to the desired markup
- Click or tap Rename
- Make changes to the name
- Click or tap Save
Moving, duplicating or deleting markups
Everyone can duplicate and delete markups in their own Personal Markup Library, but only Admins can move, duplicate and delete markups in shared Project Markup Libraries.
To move, duplicate or delete a single markup:
- Click or tap the More (...) menu next to the desired markup
- Click or tap Duplicate or Move to project / Move to personal
If you're a Project Admin, you'll get the choice of which library to duplicate the markup into. If you're not, it will immediately duplicate the markups into your Personal Markup Library
To move, duplicate or delete multiple markups in one action:
- To enter bulk select mode, click or tap the More (...) menu next to one of the desired markups or the More (...) menu next to the Markup Library search bar, and choose Select
- Select all of the desired markups. At the top of the Markup Library panel you'll see a count of the selected markups
- Click or tap Duplicate, Move to project / Move to Personal or Delete located at the bottom of the Markup Library panel
- To cancel the bulk selection, click or tap Done at the top of the Markup Library panel
Tip: When doing bulk actions to a large number of markups, do these in batches of ~50 at a time
Transferring saved annotations from one project to another
With import/export functionality admins can easily transfer markups from project to project in bulk.
To export your saved annotations:
- From the Markup Library, tap the 3 dots (next to the search bar)
- Tap Select and then manually select the annotations you would like to export, or tap Select All to select all of them
- Tap More, then Export
Your annotations will then download to your device. By default, the file name will be “[date] Markups.drawboardmarkups”
To import an exported file of annotations to another project
- Go to the Project you would like to add the markups to
- Go to Markup Library
- Tap the 3 dots next to the search bar
- Tap Import to Project
Your annotations will now appear in the project's Markup Library.
Adding the Markup Library to the Favorites bar
The Markup Library tool can be added to the favorites bar. Clicking or tapping the Markup Library tool on the favorites bar always opens the markup library panel (even if the tool panel is closed), so that you can navigate to and select the markups you want to use. It's not possible to favorite a single markup.
How to edit a saved markup
To edit a markup that has been saved to the Markup Library:
On the Web application
- Place the markup that you would like to edit on the canvas
- Double-click the element that you would like to edit
- Make your edits and then de-select (Note: you can resize, delete, move and adjust the color of different components of your markups).
- Select the entire markup and tap Save to Markup Library (if you are on a Growth or Enterprise plan, select the Markup Library you would like to add it to)
- Name and tag the markup and then Save
On the iOS application
- Place the markup that you would like to edit on the canvas
- Ensure that your saved markup is selected and then select the element that you would like to edit
- Make your edits and then de-select (Note: you can resize, delete, move and adjust the color of different components of your markups).
- Select the entire markup and tap Save to Markup Library (if you are on a Growth or Enterprise plan, select the Markup Library you would like to add it to)
- Name and tag the markup and then Save
